eCASm Manual
eCASM provides a College admissions office or Educational Agency with offer generation, follow up prompting with customer details, integrated email processing, task tracking and appointment scheduling.
This means any email sent or received, any contact made or scheduled, and all documents and notes about a student or college entered by any of your staff in your company at any location in the world, is stored and available for referenced by any staff member.
This manual show the workplace setup for an Agent (with Colleges as a part of the workplace, Colleges would see Agents as a part of the workplace.
eCASM Opening Screen
The application must be run from the local machine disk drive. The application opens and requires you to enter your username and password.

eCASM’s Workplace is the central access point providing a navigation menu system for access to Students, Colleges, Contacts, Document Repository, Offers, Tasks, Appointments, Workflow and email. The workplace provides the user with a consolidated desktop view of their day to day work.

Students
Students are the prospects, leads, current clients or past clients of the Agency or College. Students can be assigned to a sales representative for tracking of commission for the employee.
Students can be linked to other contacts within eCASM which can be parents, grand-parents, etc, to assist and help with communication with the student .
Always check if the student is already entered in the system. Press student - Search. You can filter by search criteria. Enter your search and press Search.

Double click the student name in the grid to display the student details.

Note as well as the fields displayed in the Student Detail, a separate screen can display Notes, Activities, Contacts, Documents, Visa and Insurance. The communications with the student can be displayed under Email, Appointment, Task and Journal Entry.
Colleges
Colleges are academic institutions where students attend a course. Additional information such as Employees can be associated with the college.

Activities
Privides a listing of all emails, appointments, tasks and journal entries for that student.

Contacts
Contacts are student contacts or employees of a College.

Document Repository
The Document Repository is online central document store for all communications with clients. Attachments from incoming and outgoing emails, Tasks, Appointments and Journals entries are stored in the Document Repository. The documents can be searched in a central location so a document is never lost or misfiled.

The Document Repository also tracks revisions of a document over time by users. Keeping a track of each revision enabling the user to view prior revisions of the same document enabling the tracking of changes.

Offers
An offer is a quote for a student. It comprises 2 parts. The first part is offer, which includes when it was generated who the contact is and who is assigned to the offer. The second part is the offer items comprising the offer. Part 1 offer detail:

Printing an offer
beside the offer item menu is the Print offer button.

You are asked to select the template to use and the output format: doc, docx, html, pdf otr text. The output immediately goes to the report queue, where it can be viewed or saved locally. Press the Refresh button to see the lasted output files.

eCASM allows the complete tracking of all emails sent to/received from Colleges, Students, Agents, and general contacts, at the same time handling internal and external parties seamlessly. eCASM can also associate any incoming email to a College, Student, Agent, or Contact within eCASM.

eCASM integrated email allows a consolidated view of emails meaning that, for example, all emails associated with a student can be viewed in one central location.
Task
Task tracking provides the ability to track individual tasks or Todo’s for every user of eCASM. A Task can be flag with a reminder notifying the user when the task is required to be completed. A Task can also be Associated with a College, Student or any other Contact.
Tasks can be re-assigned to another User of eCASM for them to complete

Tasks are used for reminders for user that a Phone call, Sending an Information Pack, Notify a followup for an awaiting a response

Appointment
eCASM allows the scheduling of appointments for Students, Users, and Contacts. Appointment notifications can be sent to Attendee’s of the appointment either via email or an internal appointment (other eCASM users).

Attendees -
eCASM integrated appointment scheduling allows the consolidated view of appointments meaning that all appointments for a Student, User or Contact can be viewed in one central location.
Setup enables you to enter and define your agency options. Main menu - Setup.
Products
The products you select for entering offers are entered here Main - Setup - product - (search/New). I have entered an example of a General English Course supplied by APC.
